Spirit Chiropractic ("we", "us") respects your privacy. This policy explains how we collect, use, store and share your personal and health information. We follow the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs) and the Health Records and Information Privacy Act 2002 (NSW).
Who we are

What information we collect
- Contact details: your name, phone number, email address and date of birth.
- Health information: your health history, symptoms, examination findings, treatment notes, imaging reports, and any referrals or reports from your GP or other practitioners.
- Billing information: Medicare details for GP-referred (Chronic Disease Management) care, private health fund details, and payment records.
- Website information: what you submit through our booking or contact forms, and basic technical data (such as browser type and pages visited) collected by our website platform through cookies.
You can make a general enquiry without giving your name. To provide treatment, we need to identify you.
How we collect it
Mostly from you: in person, by phone, by message, or through our website booking form. With your consent, we may also receive information from your GP, specialists, imaging providers or other health practitioners involved in your care.
Why we collect and use it
- To assess you, provide chiropractic care and keep accurate clinical records.
- To book, confirm and remind you of appointments.
- To communicate with your GP or other practitioners involved in your care, with your consent.
- To process payments, Medicare claims and health fund claims.
- To meet our legal, professional and insurance obligations.
We do not sell your information. We do not send you marketing without your consent, and you can opt out at any time.
Who we share it with
We only disclose your information for the purpose you gave it, a directly related purpose you would expect, with your consent, or where the law requires or permits it. This may include:
- your GP, specialists or other practitioners involved in your care;
- Medicare (Services Australia) and your private health fund, for claims;
- imaging and pathology providers you are referred to;
- the providers of our practice software, IT, website and payment services, who handle data on our behalf under confidentiality obligations;
- our professional indemnity insurer, lawyers or regulators (such as AHPRA) where required.
Overseas disclosure
Our website is hosted by Squarespace, which may store website form submissions on servers outside Australia, including in the United States. Some of our software and messaging providers may also store data overseas. We take reasonable steps to make sure these providers protect your information in line with the APPs.
Messaging and email
We may contact you by phone, SMS, WhatsApp or email about appointments. These channels are not fully secure. Please don't send detailed health information through them; tell us in person or by phone instead.
How we store and protect it
Your records are kept in secure electronic practice management software, protected by passwords and access controls. Only authorised staff can see them. Paper documents are kept securely and destroyed securely when no longer needed.
Under NSW law we keep adult health records for at least 7 years after your last visit, and records for someone under 18 until they turn 25. After that, we destroy or de-identify them securely.
If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.
Accessing and correcting your information
You can ask for a copy of your records or ask us to correct anything that is inaccurate, out of date or incomplete. Contact us using the details below. We will respond within 30 days. We may charge a reasonable fee for copying, but never for making a request. If we refuse access, we will tell you why in writing.
Cookies and our website
Our website uses cookies set by Squarespace to make the site work and to measure basic visitor statistics. You can block cookies in your browser settings; some parts of the site may not work properly if you do. Our website links to Facebook, Instagram and Google Maps; those sites have their own privacy policies.
Complaints
If you have a concern about your privacy, please contact our Privacy Officer first. We will acknowledge your complaint within 7 days and aim to resolve it within 30 days.
